Rental Policies

Guest Policy

Damage Policy: Renter is liable for damage beyond reasonable wear and tear occurring during the reservation. YMC reserves the right to charge the renter the cost of repairs and/or replacements in addition to a reasonable administrative fee.

Smoking Policy: Smoking in custom homes & condos is strictly prohibited. Failure to comply with this policy will result in the suspension of rental privileges, possible eviction without refund, and/or an assessment of 2 nights rent for loss of use and any mitigation costs.

Pet Policy: Pets are strictly prohibited in custom homes & condos. Failure to comply with this policy will result in possible eviction without refund and/or an assessment of 2 nights rent for loss of use and any mitigation costs.

Cancellation Policy: Payment will be fully refunded if a cancellation is made more than sixty (60) days prior to the scheduled arrival date. If a cancellation is made at any time from and after the date which is 60 days prior to the scheduled arrival date (but in no event later than 72 hours prior to the scheduled arrival date), 75% of  the payment made as of the cancellation shall be forfeit and not subject to refund. If any cancellation is made within the 72 hour period prior to the scheduled arrival date (or in the event of a “no show” or the renter leaves early or vacates before the end of the scheduled rental period), no credit or refund shall be due and the entire amount of the deposit(s) made shall be forfeited. Unless otherwise determined by the Club, no exceptions shall be made due to canceled or shortened stays as a result of emergencies of any kind, travel delays, adverse weather conditions, or other risk perils.

Payment: Payment in full is required to confirm your reservation. If the payment is not received within 2 business days of receipt of this letter, the reservation will be released. Payment may be made by wire transfer, check, or credit card. Please complete the attached payment authorization form at the end of this agreement.

Check-In: Check-in time is between 3:00pm and 10:00pm on the first day of your reservation. Please mention your lodging accommodations when you pass through the South Fork Security Gate and officers will direct you to your home, where a Residence Experience Coordinator will be on hand to greet you. In some instances, access to your private rental home may be delayed due to housekeeping or maintenance issues; your patience is appreciated in these circumstances. If you wish to check in earlier than 3:00pm, please contact Lodging prior to your arrival. We will make every effort to accommodate such requests, but we cannot guarantee availability. In order to guarantee access prior to 3:00pm, guests must reserve and pay for the night before their originally scheduled stay, and such reservation is subject to availability.

Check-Out: Check-out time is 11:00am on the last day of the reservation. If you would like to check out later than 11:00am, please contact Lodging prior to your day of departure. As with early check-in, we will make every effort to accommodate late check-out requests, but we cannot guarantee availability. Late check-out without advanced written permission from YC Lodging will result in the assessment of 50% of an additional night’s rent. In order to guarantee the availability of check-out past 11:00am MST on the day of departure, guests must reserve and pay for the night after their originally scheduled departure, and such reservation is subject to availability.

Lost & Found: Yellowstone Club is not responsible for any acts of theft or vandalism, or other damages to any personal property. Every effort will be made to contact you if any personal items are found in your unit after your departure.

Pools & Spas: If the home you are renting has a pool or spa there will be rules related to its use posted in the home near the pool or spa and/or near the welcome letter from our team upon arrival. Following these rules is mandatory and failure to do so may result in serious injury or death. Additional copies of the rules will be provided upon request.

Entertainment: If Renter plans to entertain at one time more than twice the number of people the home can comfortably sleep (lowest number of sleepers as marketed by YC) then the renter must obtain the prior written approval of YMC and additional Housekeeping charges will apply. YMC may, in its sole and absolute discretion, deny the request to entertain such a large group, so the renter should obtain written approval prior to confirming any reservation with a deposit. Failure to comply with this policy will result in possible eviction without refund and a fine equivalent of up to 2 nights rent.

Housekeeping: Housekeeping services are provided as part of every home rental on a daily basis with linen changes every third day. All linens, towels, standard bathroom amenities, and basic kitchen supplies are provided for your convenience.

Residence Experience Coordinators: If you have any questions about your rental residence or experience any difficulties, please contact the Residence Experience Coordinators at (406) 995-7353. Residence Experience Coordinators are also available to assist with grocery lists or other requests as needed. Yellowstone Club staff, including Residence Experience Coordinators, Housekeeping, or Property Managers, may enter the property to respond to any issues during your stay.
